This position performs a wide variety of administrative tasks that are complex in nature and where considerable judgement, analysis and initiative are required in resolving problems and making recommendations. This position supports the Light Rail Maintenance Department.Essential Duties & Responsibilities:
- Performs a variety of complex tasks to relieve supervisor of routine operational and administrative details by managing, organizing, prioritizing, completing and/or delegating work and making decisions when appropriate and within established guidelines and policy.
- Provides requested information for operational and technical reports by researching departmental files and records; recording, retrieving data, compiling data/statistics and organizing and presenting information in professional format, which may include tables, charts and graphs.
- Performs administrative functions such as calendar scheduling, correspondence, travel arrangements, incoming and outgoing telephone calls, filing, developing presentations, meeting agendas and meeting minutes with particular emphasis on supervisor needs.
- Serves as liaison and represents the department on various issues with internal and external stakeholders.
- Manages and oversees documents for assigned area, ensuring the proper documents are created and signed, that all data is accurate and that documents are stored and backed up and any retention policies are followed.
- Assists supervisor with development and monitoring of assigned budgets.
- Performs other job-related duties as assigned.
Qualifications:
- An Associate degree in business support or administrative services preferred.
- A minimum of four years of progressively responsible administrative experience supporting executive or senior management level personnel.
- Proficiency in basic math.
- Knowledge of budget processing techniques.
- Ability to communicate effectively through verbal and written methods, with good customer service skills, and the use of proper spelling, grammar and punctuation.
- Ability to manage time and workload effectively which includes planning, organizing, and prioritizing with attention to details.
- Proficient with Microsoft Office Suite, particularly Outlook and Word.
- Ability to use sound judgment and maintain confidentiality.

Pay Range:
