Description
Department: Human Resources Salary: Commensurate with education and experience.Description:
The Department Assistant IV (Part-Time) is responsible for providing professional level administrative, clerical, and financial support to the AVP/CHRO in the Office of Human Resources. Work involves acting as the first point of contact, managing calendars, processing financial documentation, and supporting events. May oversee and give work direction to support staff and student workers.
*Note: This position is part-time, benefits-eligible working 20 hours per week.
Duties:
- Responsible for providing general administrative support including managing the AVP/CHRO's calendar, ensuring accurate scheduling of meetings and events as well as tracks and maintains the HR Department compliance calendar (deadlines, audits, mandatory reports). Maintains confidentiality.
- Serves as the first point of contact for inquiries for scheduling by providing professional, people-centered responses to employees, leadership and external stakeholders.
- Processes HR P-cards as well as monthly budget and department invoices in alignment with university policies.
- Responsible for the initiation of budget transfers for assigned area. Assists in compiling data for HR dashboards and supporting monthly budget reviews. Supports HR events for various employee engagement initiatives.
- Creates, updates and maintains departmental databases/websites and prepares recurring reports. Designs, assembles and distributes HR e-newsletter and other employee communications. Creates and maintains a filing system of confidential files.
- Provides support for special events, projects, and programs. Prepares meeting materials, agendas, and minutes; ensure timely follow up on action items. Coordinates logistics for HR leadership retreats, HR workshops, and cross-departmental initiatives.
- Supports communications and branding efforts that elevate the HR division's visibility and reinforce a people-centered culture.
- Acts as support for HRIS technology liaison to coordinate technology improvements.
Required Qualifications:
- A thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4 year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed.
- Minimum seven years of business or clerical experience.
Knowledge, Skills and Abilities:
- Knowledge of State of Texas reporting forms.
- Knowledge of State of Texas reporting forms.
- Knowledge of budget and planning procedures.
- Strong oral and written communication skills and proficient organizational skills.
- Ability to prioritize and complete assignments, meet deadlines and handle interruptions.
- Knowledge of Microsoft Suite (Word, Excel, etc.).
- Supervisory skills to manage and lead staff.
