This role completes a broad variety of advanced-level support to the agency's senior executives. This includes of administrative tasks such as managing calendar, scheduling meetings and preparing agendas; maintaining files; completing expense reports; composing and preparing correspondence and materials that are oftentimes confidential. Manages/leads special projects and continuous improvement initiatives. Provides financial and budget support and drives cross-functional collaboration and employee engagement. May supervise or lead other executive assistants or business support positions.DUTIES & RESPONSIBILITIES:
ESSENTIAL:
Executive Support:
Completes a broad variety of administrative tasks including managing an active calendar of appointments; scheduling meetings and preparing agendas; maintaining files; completing expense reports; composing and preparing correspondence and materials that are often times confidential; and managing special projects as assigned.
Serves as the first point of contact for internal and external stakeholders; communicates directly, and on behalf of the assigned senior executive with other agency employees, public officials/staff, and other individuals and entities regarding matters related to the division, represents the executive by welcoming visitors, coordinating agency functions, and responding to questions and meeting requests directed to the executive; processes confidential materials and communications.
Plans and coordinates the assigned senior executive's schedule and ensures time commitments are followed and respected; provides "gatekeeper/gateway" role, creating win-win situations for direct access to the executive's time and office; adjusts the executive's calendar to maximize use of time.
Produces executive-level communications and materials, including reports, presentations, contracts, database files, charts, graphs and forms, and major documents as required for reproduction and distribution; proofreads, edits, compares, and redlines documents effectively and navigates and operates within various computer databases and programs relating to area of responsibility; gathers data and provides requested information for operational and technical reports; prepares standard documents related to public records requests.
Manages day-to-day office operations; creates and maintains a professional filing system for the office; organizes and prioritizes volumes of information; provides general administrative support to the Leadership Team as directed.
Researches, prioritizes, and follows up on incoming issues and concerns including those of a sensitive or confidential nature; determines appropriate course of action, referral, or response.
Serves as a member of the Administrative Coordination Team.
Arranges travel and off-site meetings by developing itineraries and agendas; books transportation; arranges registrations, lodging and meeting venues; provides detailed travel plans/itineraries/agendas.
Attends meetings as directed; accurately takes and transcribes minutes; files and distributes as appropriate; and ensures timely follow up on actionable items.
May supervise or lead other executive assistants or business support positions.
Financial/Budget Support:
Assists the assigned senior executive with development, monitoring and reporting of assigned budgets including expenditures, contracts and project spending; performs purchasing and bookkeeping functions, processes expense reports.Prepares financial reports, presentations and briefings identifying trends, risks and opportunities.
Collaborates with agency leaders to ensure budget requests are aligned with strategic initiatives, operational priorities, and resource availability.
Helps identify opportunities to improve budgeting and financial processes, ensuring efficiency, accountability, and compliance with agency policies.
Provides ongoing contract oversight ensuring expenditures and deliverables align with approved budgets and agreements.
Strategic Support:
Assists the assigned senior executive in developing and implementing annual and ongoing strategic objectives, initiatives, targets, and performance measures across multimodal operations; supports the design, implementation, and monitoring of operational strategy tools, including huddle boards, dashboards, and reporting frameworks, to track progress and drive accountability.
Assists with facilitation of strategy workshops and collaborative sessions across operations to engage teams, align priorities, and advance organizational goals.
Monitors, evaluates, and reports on the status and progress of strategic initiatives, providing insights and recommendations to support decision-making and continuous improvement.
Conducts research, analyzes trends, and synthesizes data to inform strategic planning and operational priorities.
Special Projects / Project Management (approx. 25%)
Leads, oversees, and coordinates special projects that advance strategic priorities, operational efficiency, and a "One RTD" culture across transit modes; ensures projects promote collaboration, innovation, and consistency
Establishes and supports a structured continuous improvement program; identifies, initiates, and prioritizes operational improvement projects that enhance cross-functional collaboration, employee engagement, and internal communications, ensuring alignment with organizational goals.
Tracks project milestones, monitors outcomes, prepares status reports, and communicates progress.
Supports the development and implementation of best practices in project management and continuous improvement, ensuring lessons learned are captured and applied to future initiatives.
Partners with others to ensure projects promote collaboration, innovation, and consistency while maintaining clear boundaries with support departments.

QUALIFICATIONS:
Required Qualifications:< /p>
Bachelor's degree in Business, Public Administration, Organizational Management, Communications, Project Management or other relevant field.
Minimum of seven years of work experience in an executive assistant position or a position supporting an organization's senior executives.
Outstanding verbal and written communication skills, professional decorum, tact and diplomacy.
High degree of confidentiality, flexibility, and tolerance of ambiguity.
Strong computer skills including a mastery of Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and Adobe, and ability to navigate in web-based environments.
Positive attitude, a sense of humor, ability to work collaboratively and cooperatively with internal and external stakeholders.
Initiative and ability to work independently under pressure in a deadline driven, detail-oriented environment, while maintaining high standards of accuracy, composure, and professionalism
Ability to manage time and workload effectively.
Excellent analytical and problem-solving skills and sound judgment.
Ability to convey objective, accurate, concise, and timely information that facilitates informed decision making, effective policy and procedure development.
Independent judgment and discretion in analyzing situations and in the determination of actions to be taken.
Experience leading or supporting cross-functional projects, continuous improvement initiatives, strategic initiatives, budget/financial oversight and/or employee engagement efforts.
Preferred Qualifications:
Experience working for a public transportation agency.

WORKING ENVIRONMENT:
The work environment is a typical office environment with minimal exposure to excessive noise or adverse environmental issues.
PHYSICAL DEMANDS:
Required to stand, walk and sit; talk or hear, both in person and by telephone; use hands to finger, handle or feel objects or controls; reach with hands and arms. Regularly required to stoop, kneel, bend, crouch and lift up to 25 pounds.

Pay Range:
