Job Summary
Provides project management and support to the Director in implementing the Medical Documentation Program. Manages the Medical Documentation functions by directing daily operations in support of obtaining and evaluating servicing provider's Medical Documentation within contract standards, and sharing appropriate documentation with VA. Ensures professional, accurate, and timely review and processing of all medical documentation and ensures that contract standards are achieved and sustained. Focuses on staffing medical documentation operations to maintain contract standards, developing policies and procedures and on-line systems to maximize outcomes and managing individual and unit performance. Manages interdepartmental and intradepartmental communication and collaboration as needed.
Education & Experience
Required:
• H.S. Diploma or G.E.D.
• 5+ years of progressively responsible experience in health care
• Project management experience in developing and implementing health care operations programs
• Intermediate to advanced skills in MS Project, Excel, Visio, Power BI and PowerPoint
• 3+ years supervisory or people management experience and/or equivalent leadership roles
Preferred:
• Bachelor's in Health Care Administration or related field
• Experience with the military or Veteran healthcare
• Medical records or documentation experience
Key Responsibilities
• Project manages the development, implementation, and deployment of the Medical Documentation Program, including oversight of inventory management, reporting, and project deliverables.
• Drives continuous process improvement and the automation of key functions to enhance efficiency and scalability.
• Supports the creation, monitoring, and refinement of performance metrics and reporting structures.
• Demonstrates leadership and coaching skills for effective staff development and consistently displays professional, and compassionate management skills.
• Recruits, trains, coaches, and develops supervisors and staff. Identifies training needs and drives enhanced training curriculum as needed for process and performance improvement.
• Monitors department performance metrics and implements strategies to improve efficiency and performance.
• Educates staff on Medical Documentation requirements including content requirements, and timeliness standards for obtaining, reviewing and forwarding medical documentation to VA.
• Establishes annual performance goals and metrics.
• Establishes desk procedures for obtaining, maintaining, evaluating, and reporting medical documentation to VA.
• Develops processes for communicating critical findings to VA within required timeframes. • Develops schedules and staffing plans to optimize available resources to meet contract requirements for managing Medical Documentation.
• Continually improves internal standards, guidelines, or procedures as required.
• Ensures that Medical Documentation processing operations comply with HIPAA regulations to protect the privacy of Veterans' personal health information.
• Performs other duties as assigned.
• Regular and reliable attendance is required.

Working Conditions
Working Conditions:
• Availability to work any shift 6:00a.m - 8:00 p.m. M-F, including with overtime as required
• Works in a standard office environment, in a fast-paced production environment
• Ability to meet production requirements on a regular basis
• Department of Defense security clearance
