Operational Support ManagerJob Title: Manager, Operational Support Position Overview: The Operational Support Manager is responsible for overseeing and optimizing operational support functions and managing the fleet of vehicles within an organization over multiple facilities. This role involves leading a team of support staff and ensuring the efficient coordination of various operational activities to maintain smooth business operations. Additionally, the Operational Support Manager is tasked with managing the fleet, including vehicle acquisition, maintenance, compliance, and safety, to ensure reliable and cost-effective transportation services. Key Responsibilities:
- Operational Support Management:
- Lead and supervise a team of managers and operational support staff, providing guidance, training, and performance evaluations.
- Identify areas for operational improvement and develop strategies to enhance efficiency, productivity, and service quality.
- Monitor and manage operational processes to meet organizational objectives and service level targets.
- Ensure exceptional customer service is provided to both internal and external stakeholders.
- Fleet Management:
- Oversee the organization's fleet of vehicles, including vans, trucks, or other specialized vehicles.
- Assist team with development and implementation of fleet management policies and procedures to ensure optimal vehicle utilization, maintenance, and safety.
- Oversee coordination of vehicle acquisition, disposal, and replacement strategies to meet operational requirements efficiently.
- Ensure all vehicle maintenance schedules are monitored and all vehicles are in compliance with safety and regulatory standards.
- Collaborate with drivers and other stakeholders to address any fleet-related issues promptly.
- Tooling Management
- Ensure their team is maintaining accurate inventory of all tools and equipment ensuring stock levels meet ongoing demands
- Oversee the implementation of inventory control measures to present loss or theft, that tooling needs are identified based on project requirements and department requests and that tools are standardized across divisions ensuring they are fit for purpose and that tooling procurement activities are implemented and tracked.
- Facility Management
- Create standard procedures for facilities across all locations
- Ensure their teams are maintaining facilities, completing necessary repairs and standards of cleanliness are maintained
- Oversee the coordination and scheduling of regular inspections and preventative maintenance
- Assist planning and lead construction of new facilities both Hub and Spoke
- Data Analysis and Reporting:
- Analyze operational data and fleet metrics to identify trends, assess performance, and make data-driven decisions.
- Prepare and present regular reports to management, highlighting key performance indicators related to operational support and fleet management.
- Budgeting and Cost Control:
- Participate in the development and management of budgets related to operational support and fleet management.
- Monitor fleet-related expenditures and identify cost-saving opportunities without compromising safety and service quality.
- Vendor Management:
- Collaborate with vendors and suppliers to ensure seamless integration of services and monitor their performance.
- Negotiate contracts and service level agreements to achieve cost-effectiveness and high-quality services.
- Compliance and Safety:
- Ensure compliance with company policies, industry regulations, and safety standards in all aspects of fleet operations.
- Implement and maintain procedures to ensure consistent service delivery and regulatory compliance.
- Training and Development:
- Coordinate and provide training programs for the operational support team and drivers to enhance their skills and knowledge.
- Ensure that the fleet staff receives appropriate safety and compliance training.
- Bachelor's degree in Business Administration, Operations Management, or a related field. Advanced degrees or certifications in relevant disciplines are advantageous.
- Proven experience in operational support management of multiple facilities and fleet management.
- Strong leadership and team management skills with the ability to motivate and inspire a diverse workforce.
- Excellent problem-solving abilities and a track record of implementing process improvements.
- Analytical mindset with the capability to interpret data and make informed decisions.
- Outstanding communication and interpersonal skills to interact effectively with stakeholders at all levels.
- Knowledge of fleet management software and tools for efficient fleet tracking and maintenance.
- Understanding of transportation regulations, compliance, and best practices.
- Flexibility to adapt to changing business requirements and work schedules.
- Primarily performs work in an office, warehouse, and facility environment with frequent movement between locations.
- Regularly required to sit for extended periods while working at a computer and reviewing data, reports, and documentation.
- Frequently required to stand, walk, bend, and move throughout facilities, warehouses, yards, and fleet areas to conduct inspections, observe operations, and meet with staff.
- Ability to lift, carry, push, or pull items weighing up to 25 pounds (e.g., tools, equipment, supplies, files, or inventory samples) on an occasional basis.
- Ability to safely navigate industrial environments, including warehouses, vehicle yards, loading areas, and active facilities.
- May be required to climb stairs, ramps, or ladders occasionally during facility inspections or construction oversight.
- Visual ability sufficient to review documentation, read computer screens, inspect vehicles, tools, equipment, and facilities, and identify safety or compliance issues.
- Hearing and verbal communication ability sufficient to participate in meetings, training sessions, phone calls, and on-site discussions in potentially noisy environments.
- Ability to operate standard office equipment and systems, including computers, phones, tablets, printers, and fleet or inventory management software.
- Ability to travel between multiple facilities and vendor locations, including local and occasional overnight travel.
- Ability to manage and prioritize multiple responsibilities across multiple facilities, fleet assets, and support teams simultaneously.
- Strong attention to detail to ensure accuracy in data analysis, reporting, inventory control, compliance documentation, and budgeting.
- Ability to analyze operational, fleet, and financial data; identify trends; evaluate risks; and make sound, timely, data-driven decisions.
- Capacity to think strategically while also addressing day-to-day operational issues and competing priorities.
- Ability to exercise sound judgment and problem-solving skills in complex, fast-paced, and sometimes ambiguous situations.
- Ability to lead, coach, and support managers and staff, including providing clear direction, feedback, and performance evaluations.
- Strong communication skills, including the ability to clearly convey expectations, procedures, and policies both verbally and in writing.
- Ability to collaborate effectively with internal stakeholders, vendors, and external partners to resolve issues and meet operational goals.
- Ability to handle sensitive or confidential information with discretion and professionalism.
- Ability to maintain focus and composure under pressure, meet deadlines, and adapt to changing business needs, priorities, and work schedules.
