Position Summary :
The Program Assistant supports the team members responsible for day-to-day operations of Northside Common Ministries' emergency men's homeless shelter and food pantry by ensuring accurate data collection, record keeping, and administrative support. This role plays a key part in maintaining the men's shelter programmatic compliance and supporting service delivery through detailed tracking of participant interactions and facilitating intakes. The Program Assistant will perform routine check-ins and intakes at the food pantry and own inventory tracking and record keeping to aid in the accuracy of replenishment orders and future forecasting. In collaboration with the Housing & Community Services department and other agency team members, this position helps ensure effective and efficient services by maintaining organized and reliable data systems. This role requires a high level of attention to detail, strong organizational skills, and consistency in handling data entry and documentation, along with comfort using technology and database systems to ensure accurate record keeping
and reporting.
Essential duties include, but are not limited to:
- Coordinate with participants and NCM team to complete initial intake and enrollment procedures for both the Northside Common Ministries men's emergency shelter and food pantry.
- Develop and maintain relationships with Goodwill department personnel, external community providers, funders, and/or other stakeholders to facilitate quality service delivery.
- Manage the accuracy and organization of pantry and shelter inventory records, coordinating with appropriate team members for orders and escalating approvals, as needed.
- Conduct regular supply inventory audits for all programming within the Northside Common Ministries facility to ensure all records are up to date and accurate.
- Assist with the preparation of reports and documentation related to pantry and shelter operations. Establish effective communication with onsite management and team members on duty throughout the facility.
- Serve as a backup certified team member in compliance with Greater Pittsburgh Food Bank program requirements.
External hiring range: $17.33-18.02/hour
Travel required: Yes, local travel is required.
Schedule: 8a-2p Monday - Friday.
Qualifications:
- High School AND 4 year of experience required.
- Associates degree AND 2 year of experience required.
- Bachelors' degree AND 0-1 year of experience required.
Required Experience:
- Experience working in an emergency shelter or similar setting and with administrative functions within a social service agency
- Proficiency in Microsoft Office business products, including but not limited to Word, Excel, and Outlook
- Qualified candidates must have a valid driver's license and reliable transportation for local travel.
- Candidates are expected to provide current valid clearances (Child Abuse Clearance, FBI Fingerprints Clearance, and PATCH)
