We are seeking a full-time Project Administrator for our Environmental Practice in our Syracuse, NY office. This position would support our Environmental Practice staff in all offices across the Northeast and Mid-Atlantic regions.
Duties will include, but are not limited to:
- Word processing, formatting, and final proofing and assembly of written deliverables (letters, reports, technical specifications, etc.);
- Bidding document preparation;
- Assist with staff trainings, managing certificates, and record-keeping;
- Organizing project data, photos, and records (i.e. correspondence, laboratory data, field notes, photos, project drawings, specifications, reports, etc.);
- Assistance with coordination and scheduling of meetings, conferences, and related logistics;
- Preparing written meeting notes, project status summaries, and other written materials;
- Coordinating communication between project team members and other Practice Areas;
- Assisting Project Managers with preparing and tracking budgets and schedules, and reporting progress;
- Preparing subcontractor RFPs, and coordinating contracts and contract requirements with subcontractors;
- Preparing spreadsheets to organize and present project data;
- Tracking construction project progress and maintaining records, including: submittals, payment applications, RFIs, change directives and change orders, and other construction administration duties;
- Tracking project progress, including: environmental review, funding agency requirements, permit applications, regulatory agency review, etc; and
- Preparing grant applications, tracking and implementing grant program requirements, and preparing and processing grant reimbursement and reporting paperwork.
Requirements:
Applicants should be proficient with Microsoft Office Suite, basic accounting procedures, organization and scheduling. Experience with web-based project management software (e.g. Procore, etc.) and contract management software (ContractWorks) is a plus. Applicants should also have a degree in Liberal Arts, Business Administration, or similar field and 4+ years of applicable experience, or equivalent combination of education and experience. This position requires a reliable, enthusiastic, organized person who can manage multiple priorities, communicate well with multiple project managers on a wide variety of projects, and work with a diverse group of environmental professionals across multiple offices.
Estimated Pay Range: $24-34/hour
Actual compensation may vary based on related work experience, geographical location and market conditions, education/training, certifications, and other credentials, as well as applicable knowledge and skills.
