JOB SUMMARY:
The Project Coordinator serves as the central hub for automation and material-handling projects within our Advanced lntralogistics division. This critical role bridges customers, vendors, field technicians, and internal teams to ensure seamless project execution from planning through completion. You will manage documentation, schedules, procurement, and financial tracking while maintaining our commitment to integrity, responsiveness, and customer excellence.
ESSENTIAL FUNCTIONS:
- Plan, organize, and coordinate automation, conveyor, dock & door, and systems projects from start to finish.
- Develop and maintain detailed project schedules with milestones and deliverables.
- Coordinate technician and subcontractor scheduling, travel, and on-site logistics.
- Partner with Automation Service Manager on planning, resource allocation, and priorities.
- Provide regular updates including progress, challenges, and customer feedback.
- Identify workflow improvements and communication gaps impacting efficiency.
- Serve as primary liaison between customers, vendors, and internal teams.
- Facilitate meetings, track action items, and ensure timely issue resolution.
- Provide proactive customer updates and manage expectations.
- Coordinate ordering and delivery of equipment, parts, and materials.
- Work with vendors to confirm lead times, manage shipments, and track deliveries.
- Maintain project inventory visibility to prevent delays.
- Maintain accurate project records including POs, change orders, and drawings.
- Support billing, invoicing, and job-cost tracking with accounting teams.
- Prepare closeout documentation and project handoff Materials.
- Collaborate with sales, service, and operations for smooth project handoffs.
- Support field technicians with resource coordination and parts availability.
- Assist management with pipeline tracking and identifying resource bottlenecks.
- Contribute to improving coordination processes, templates, and reporting tools.
- Ensure compliance with safety standards, customer policies, and internal procedures.
- Participate in training to stay current with company systems and technologies.
- Associate's or Bachelor's degree in Business, Project Management, Industrial Technology, or related field (preferred).
- 2+ years in project coordination, operations support, or related role within industrial automation, material handling, or construction.
- Familiarity with conveyors, automated storage systems (Modula, shuttle systems), dock & door equipment highly beneficial.
- Strong understanding of project documentation, scheduling, procurement, and cost tracking.
- Proficient in Microsoft Office Suite and project management software (Smartsheet, MS Project, or equivalent).
- Experience with ERP or CRM systems (ELC, NetSuite, SAP, etc.) preferred.
- Ability to read equipment drawings, specifications, and installation documentation.
- Strong organizational skills with ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication with customers, vendors, and internal teams.
- Strong relationship-building ability and professional Presence.
- Proven collaboration skills with service managers, technicians, and administrative staff.
