- Senior Leave Administration Specialist

The Senior Loomis Leave Administration Specialist is responsible for leading the leave administration and ADAAA functions that support our Corporate Benefits operations across the United States, Canada, and Puerto Rico. The successful candidate in this role will exhibit and execute an expert level knowledge of FMLA laws as well as State Paid Family leaves, with experience in the administration, interpretation, execution, and process documentation of these required Federal and State leaves and disability policies. The Senior Leave Specialist will also partner with internal Business Partners with worker's compensation claims and ADA accommodations. This role is located in our Houston, TX, Corporate office and reports to the Director of Payroll & Benefits.This is a non-supervisory level position that will work in coordination and as a part of the Loomis Benefits team.
Position Responsibilities:
Duties will include, but may not be limited to the following:
• The position will utilize full discretion latitude in decision-making, considering a primary subject matter expert in federal, state, and local leave policies as well as ADA accommodations.
• Primary liaison with third-party Leave Administration vendor for monitoring, reporting, and, where appropriate, approval of leaves.
• Serves as a subject matter expert and practices all associate Leave of Absence policies, including but not limited to: Corporate-sponsored Leave and Disability Policies, Federal FMLA, USERRA Military leave, STD/LTD, State-sponsored PFML, HIPAA, and other Leave of Absence-related legislation and policies across US, Puerto Rico, and Canada.
• Identify and recommend methods to update, simplify, and enhance processes, procedures, and technologies.
• Leads the process to develop and maintain internal SOPs, forms, and communication templates related to the leave process.
• Administer leaves directly where not supported by the party leave administrator.
• Leads the Salary Continuation payment process; communicates with Payroll to ensure accurate payments with the payroll cycle.
• Provide timely and accurate communications to employees regarding the leave of absence process and/or policies.
• Maintain current knowledge of various federal, state, and local leave legislation and mandates, including pending actions.
• Partner with IT/HRIS to ensure system configuration is consistent with the required application of the leave process, including tracking and reporting requirements.
• Provide regular, monthly auditing and reporting on leave statuses as provided in HRIS system.
• Consult and support our nationwide employees on questions and compliance regarding Leave of Absence benefits and policies.
• Deliver resources and assist with training to HR Partners and managers regarding leave and ADA processes, responsibilities, and compliance requirements.
• Preserves confidentiality of employee medical documentation and files.
• Performs other related duties and projects as assigned.
Required Skills and Abilities:
• Expert knowledge of leave requirements and laws at the Federal level, specific to FMLA, the various nationwide State and Local levels, as well as disability policies and practices.
• Comprehensive knowledge of protections and required compliance offered under ADA, with and without coordination to leaves.
• Intermediate knowledge of Microsoft PowerPoint, Word, Outlook, OneNote
• Advanced proficiency in Microsoft Excel, including VLOOKUP, Pivots, Charts, and complex formulas
• Strong interpersonal skills with the ability to interact with internal and external stakeholders at all levels
• Effective and professional communicator, both verbal and written, for large groups as well as one-on-one
• Planning and organizational skills and business judgment, including the ability to anticipate the impact of decisions/initiatives
• Solid investigative and analytical skills sufficient to resolve problems and employee concerns
• Ability to work in a fast-paced work environment, managing a variety of tasks simultaneously with efficiency, a large and diversified workload, and challenging situations
• Must be detail-oriented and possess strong time management skills

• HRIS system experience, including understanding of leave administration configuration and report writing. Ceridian Dayforce preferred.
Education and Experience Qualifications:
• College Degree from an accredited college or university, Human Resources or Business preferred
• Four or more years of professional Leave Administration experience in a nationwide organization.
• Preferred Certifications: DMEC, SHRM-CP or SHRM-SCP, and/or IFEBP Certificate in Absence Management
