The Student Business Services (SBS) Specialist is the first point of contact to students and is trained in all Student Financial information. Will be responsible for a wide range of complex and detailed processes and daily operations of SBS along with offering comprehensive support to all students. This includes but is not limited to cashiering functions, daily reconciliations, various internal processes such as course and class fees, processes involving billing and applying Military accounts, third-party, and collection process.
* Please note: Travel to the UHCL Pearland Campus is required once each week.
Duties:
- Manages and is responsible for processing one of the following each semester from start to finish. These processes are detailed, extensive, and demanding.
- Course and Class Fees (verification and set-up)
- Veteran Accounts - Chapter 33, 31, and Hazelwood, etc. (deferments and billing)
- Student and corporate third party billing (deferments, vouchers and billing).
- Serves as the first contact and primary source of student financial information to students, faculty and staff. Assists with front desk coverage to answer phones, and collect appropriate payments via check, cash, cashier's check. Disburses accurate funds as needed. Processes payments in a manner that ensures accuracy. Prepares and submits appropriate journals, vouchers and receipts to customers.
- Responsible for processes such as TDCJ Billing, maintaining the SBS mailbox, payroll checks, daily student refunds, and collection agency placement.
- Applies the following to accounts: Wire Transfers, Convera Payments, Counseling Fees, Application Fees, Citations, Basic Needs/Hawk Emergency Grants, Charge-backs, Parking Reversals, etc.
- Responsible for receiving collection agency payments and applying them to the student accounts. Creates any vouchers if money is owed back to the collection agency.
- Posts Financial Aid groups daily and posts all returned checks received from Treasury. Applies information to Form 8300 as needed.
- Applies all Bank Mobile Reversals received from Accounting and monitors/tracks all Title IV Notifications.
- Assists with any events on campus which may include but not limited to Orientation, New Student Registration Day, and Family Weekend. (Presents, prepares handouts, attends orientation fair, works tables, etc.) and performs related duties as assigned.
Required Qualifications:
- High School diploma or GED.
- Minimum three years of cash handling experience.
- Minimum three years of accounting/bookkeeping experience in an on-line computerized environment or three years of experience working in a Student Financial student system in a higher education environment.
Preferred Qualifications:
- Bachelor's degree.
- Four years of experience in PeopleSoft Student Financial System.
Knowledge, Skills and Abilities:
- Knowledge of cashiering functions.
- Strong interpersonal, written, and verbal communication skills.
- Ability to develop and maintain effective relationships with internal and external constituencies.
- Thorough knowledge of FERPA, Texas Education Code (Section 54) and other state and federal guidelines related to higher education.
- Must be able to communicate solutions clearly and concisely and carry out duties in a timely and independent manner.
- Skills in MS Office Software (Word, Excel, PowerPoint, Outlook), Adobe Acrobat and PeopleSoft.
- Strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Strong organizational, planning and time management skills.
- Analytical skills used to compare rate, ratio and percentages. Strong mathematic skills.
- Ability to maintain high level of confidentiality and to handle interruptions and multi task.
- Ability to provide excellent customer service to university personnel and external customers.
- Ability to analyze, research, and solve various types of issues.
