GENERAL SUMMARYUnder the direction and supervision of the General Counsel or the Corporate Governance Officer, the Legal Administrative Officer supports the Legal and Corporate Affairs Department in the areas of corporate governance, entity management and corporate transactions, working closely with executive management and the Board of Directors.
ESSENTIAL FUNCTIONS
- Aid in preparing board meeting materials and keeping corporate records (including minute books) for the Bank and its affiliates; create meeting timelines, prepare and distribute meeting notification, correspondence, and agenda materials.
- Provide administrative support to the Board of Directors by scheduling meetings, arranging travel, planning and executing events (such as business luncheons or dinners), preparing reports and data, and maintaining meeting files, records, and correspondence.
- Manage daily departmental operations such as scheduling, file and document administration, general administrative support, prepare reports, and compliance with company policies.
- Oversee billing and invoice processing functions, including data entry, approval routing, tracking, database maintenance, and resolving payment inquiries.
- Generate correspondence, reports, and memoranda; update litigation reports; review and route incoming correspondence and legal process; prepare drafts for outgoing communications.
- Collaborate with legal team members on special projects and initiatives as assigned.
QUALIFICATIONS
- Education: Bachelor's Degree.
- Experience: Minimum 3 - 5 years of experience in legal administration with a law firm or in-house, or experience in a high-level administrative support position required.
- Skills/Ability: Bilingual in Chinese (Mandarin or Cantonese) preferred. Detail oriented, thorough, conscientious, hardworking, flexible, and diligent. Ability to handle multiple projects at one time, to timely follow up on pending matters, and work in a fast-paced environment independently and as a team player. Excellent organization skills, with a strong ability to review and organize voluminous documents and information. A quick study, proactive, and able to think independently, not afraid to ask questions or make suggestions. Excellent interpersonal and communication skills. Discreet with confidential information. Strong capability to prevent and spot errors.
OTHER DETAILS
$33.65 - $43.27 / hour
Pay determined based on job-related knowledge, skills, experience, and location.
This position may be eligible for a discretionary bonus.
