Business Office Assistant (Full-Time) Pay: $25.00 - $35.00 per hour
Schedule: Full-Time

Position Summary
We are seeking a professional, organized, and detail-oriented Business Office Assistant to join our team. The primary purpose of this position is to maintain administrative activities in accordance with applicable federal, state, and local regulations, established policies and procedures, and direction from management to ensure efficient administrative operations at all times.
The ideal candidate will possess strong clerical, organizational, communication, and customer service skills while supporting the daily operations of the facility.
Essential Duties and Responsibilities
- Receive and follow schedules, assignments, and instructions from supervisors in accordance with established policies and procedures.
- Assist in organizing, planning, and directing administrative activities.
- Prepare, maintain, and file meeting minutes as required.
- Serve as a key representative of the facility, contributing positively to community relations, public awareness, and overall reputation.
- Provide administrative support to the Administrator, Director of Nursing (DON), and Business Office Manager.
- Perform clerical and accounting functions, including cash receipts, data entry, and ancillary recordkeeping.
- Assist with Human Resources and payroll functions as assigned.
- Develop and maintain positive working relationships with staff across all departments.
- Assist in documenting and filing incident and accident reports according to established procedures.
- Support administrative studies, special projects, and operational initiatives as assigned.
- Ensure adherence to workplace safety and ergonomic policies, including proper lifting techniques and safe work practices.
- Monitor office supply inventory and coordinate ordering to maintain adequate operational resources.
- Maintain strict confidentiality of resident information, including Protected Health Information (PHI), in compliance with applicable privacy regulations.
- Promptly report any known or suspected unauthorized disclosure of confidential information.
- Perform additional duties as assigned.
Qualifications
- High school diploma or equivalent required; associate degree or business-related coursework preferred.
- Previous administrative, office assistant, business office, healthcare, or customer service experience preferred.
- Proficiency with Microsoft Office Suite, email, and standard office equipment.
- Strong organizational skills with excellent attention to detail.
- Ability to handle confidential information with professionalism and discretion.
- Effective written and verbal communication skills.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Basic accounting, payroll, or bookkeeping experience is a plus.
